REGISTRATION AND PARTICIPATION DETAILS
As a highly valued speaker and/or panellist at Best Stay 2018, you will receive a free event pass, which includes access to all conference content, exhibition hall, networking breaks and lunch at the hotel. It is COMPULSORY to fill out the speaker registration form below:
Your badge will be available for you at the registration desk at Rixos Libertas Dubrovnik Hotel from 9 am on November 8 and 9.30 am on November 9. Please bring your conference pass (which I will send closer to the event) with you for identification purposes.
My colleagues and I will be there to welcome you, as well as to help with anything you may need in preparation for your presentation or panel, and during the event.
All speakers and panellists are kindly asked to arrive at least one break in advance of their session in order to ensure that the conference runs to time.
Be aware that the whole conference programme will be held in English and there will be no simultaneous translation.
When you arrive, one of our conference team staff will take you to the conference room to introduce you to the technician and test your presentation slides during the break before your presentation (if needed). You will be given a microphone and normally run your
presentation from a central conference laptop.
When preparing your presentation, please bear in mind the time allocated which includes 5 minutes in the end for questions, unless you take questions throughout your presentation. Your presentation should begin with the key points as in your session
description. When preparing your presentation, please do consider the contrast between background colour, font colour and size, for optimum clarity. We advise no more than 1 slide per minute of your presentation – keep it short, simple and effective for the audience. Send in your presentation by Friday, October 26 - presentation format should be 16:9.
One month before the event, you will receive an email from Andrea in which she will introduce you to the other panellists in your panel and the panel moderator. In that email, a time will be
suggested for a conference call so that the panellists and the moderator could agree on the final focus, format and flow of the panel, as well as the desired outcome of the discussion.
Our panels don’t normally require PowerPoint slides unless the panel moderator asks for slides specifically. All other details will follow in the introductory panel e-mail.

VENUE & ACCOMMODATION
The cost of accommodation is not included in your conference ticket, however, you can book accommodation in the conference hotel, Rixos Libertas Dubrovnik.
If you wish to book a room at the conference hotel - you can do it by following these instructions:
- Go to Accor Website and choose Rixos Libertas Dubrovnik Hotel
- After filling in your dates click on the additional criteria and write down the discount code - BS2018
- Price for one night in a single room is €90 and double room is €110
- Make sure you select the SUPERIOR ROOM to receive the discounted price.
Our Marketing Team will be happy to assist you with the production of HTML as well as send banners and logos for use in blogs and to promote your involvement in the event. We would appreciate if you could send us any marketing materials (hotel or project pictures, flyers, articles on related topics, etc.) from your side that we could use for our marketing purposes.
SPEAKER INTERVIEWS & VIDEO
In the lead up to the event, we will be featuring interviews with our key speakers on the conference website. Some have already contributed and you can read their interviews here. These interviews may also be included in our media partners’ magazines, websites, blogs, portals or similar. Please let us know before the August 10 if you’d like to participate in speaker interviews. It won’t be a formal interview, rather I will send you 4-5 questions related to your topic at the event and your thoughts in preparation for the event, and ask you to send answers back in text format.
Best Stay 2018 Awards will be held for the second time, to recognise the latest and the greatest of innovative, secure, top-level solutions, companies and individuals who are really making a difference and representing the best of hospitality in Europe. Applications are open to everyone who believes they have a strong case for the below categories. The award applications will open on September 3. I would like to ask to let me know as soon as possible if your plans change and you are no longer able to speak, in which case I would also kindly ask for you to arrange a replacement from your company or another suitable replacement speaker.
